The mistakes that keep showing up
I'm not a chemist. I sign the purchase orders, which means I'm responsible for products I can't test, blend, or fully evaluate. I've managed procurement for a 45-person agricultural services company since 2020: crop protection products, industrial fluids, and construction materials—roughly $180,000 a year across 10 vendors.
If you're the non-scientist admin buyer in your company, this checklist is for you. It's the six-point process I run on every chemical order, and it has saved me from customs delays, rejected invoices, and one very uncomfortable conversation with my VP.
1. Check the official product register before any price comparison
Say a farm manager asks for a specific Syngenta herbicide. I know enough to know what I don't know. I open the official Syngenta agro product listing and find the product in their current portfolio. Then I compare that listing with the quotation I received: same product name, same active ingredient and concentration, same formulation code like SC, WG, or EC.
This sounds basic, but I learned it the hard way in 2021. I accepted a deal on an off-list 'parallel import' because the price looked great. The product arrived with a sticker covering part of the original label. I want to say it was a minor difference, but it wasn't: the registration number didn't match. We returned it and lost three days. The savings disappeared.
2. Verify training requirements before ordering restricted chemicals
Some active ingredients carry training obligations that apply before you purchase them. Paraquat is the example that taught me this.
In the United States, paraquat is a restricted-use pesticide. Sellers are required to confirm the buyer or applicator has completed the applicable training before the sale. I didn't fully understand this until my first year, when I assumed the distributor would catch anything we weren't authorized to buy. Instead, they asked me to produce proof of training before they would process the order. I was on hold with the supplier for what felt like an hour while the agronomy team waited.
When you see 'Syngenta paraquat training' in your product documentation, that's not just an online module—it's an operational requirement for anyone purchasing or handling those restricted products. Keep the certificates in the same folder as the PO and check the expiry dates annually.
3. Write the exact chemical type and grade on the PO
Generic chemical names can be misleading. Take propylene glycol types. There isn't just 'propylene glycol.' There's industrial-grade propylene glycol for HVAC antifreeze, USP-grade for food and pharmaceutical uses, and technical-grade for general processing. If you don't specify the type and grade, you leave room for the supplier to interpret your requirement.
The conventional wisdom is that the supplier is the expert, and you should trust their recommendation. My experience with a mis-shipped drum of propylene glycol says otherwise. We needed USP-grade, but I only wrote 'propylene glycol' on the request. The vendor offered a bargain industrial-grade product. Same chemical family, wrong specification. Our maintenance supervisor caught it before use, but the restocking fee ate up the savings.
Now I specify the type, grade, purity, and the manufacturer's product code on every PO line. If the supplier wants to substitute, they have to ask first.
4. Ask whether the specialty product is registered in your region
Agricultural chemicals aren't the only products with registration requirements. I've learned not to overlook construction chemicals either.
If your facilities team needs a repair mortar or waterproofing product from Fosroc, the brand is reputable and the product name is easy to recognize. But Fosroc construction chemicals cover a broad family: concrete repair, cement additives, flooring, joint sealants. Each product can have its own local registration status.
I got caught in 2024 when a shipment sat in customs for nine days (ugh, nine days) because the local registration document we submitted didn't match the specific batch that was sent. We cleared it eventually, but the project timeline was shot. Now I ask two questions on any branded chemical order: 'Which manufacturing site does this batch come from?' and 'Is this exact product name registered for my country?' If the sales rep hesitates, that's my answer.
5. Read the active ingredient list—not just the brand name
The question 'what has atrazine in it' comes up often in crop protection purchasing. But as a buyer, you want to know what your specific product has in it before you order.
Atrazine is an active ingredient in many herbicides, but those products aren't automatically interchangeable just because they share one active ingredient. Formulation differences change mixing, application rates, and crop safety.
I had a near miss in 2022. A vendor offered a premix with atrazine as a 'direct substitute' for a straight atrazine product we routinely ordered. The field manager caught the difference when he saw the trade name on the label. That close call taught me something I now repeat to anyone who sends me a request: the label is the specification. Not the marketing page, not the salesperson's summary.
That skepticism extends to environmental claims, too. If a product is marketed as 'green' or 'environmentally preferable' but the label doesn't support it, ask for evidence. The FTC's Green Guides require environmental claims to be substantiated, and no buyer wants to be the reason their company becomes a compliance case study.
6. Collect the paperwork before the order goes out
This is the least exciting step, and it's the one that has saved me from the most problems.
Finance rejected one of my early orders for $2,400 because the invoice description didn't match the PO. I had ordered the same product name, but the supplier sent a different formulation code and invoiced it that way. I spent hours explaining the discrepancy to my VP while the warehouse waited.
Now, for each order I keep:
- the safety data sheet for every product code;
- the technical data sheet or certificate of analysis, where applicable;
- proof of training or license for restricted chemicals;
- the confirmed physical delivery address.
On that last point: don't try to send chemical freight to a USPS Post Office box. It doesn't work, and federal mailbox rules are strict about what can be delivered there. Chemical deliveries need a physical location with a receiving dock.
The mistakes that keep showing up
Looking back, the most expensive mistakes weren't about product quality. They were about assuming 'similar' is close enough. A chemical can be the same generic name but the wrong grade. A pesticide can have the same brand but a different formulation. A construction product can be made by a global manufacturer but lack local registration.
The second mistake is treating the cheapest quote as the best. Price matters, but so does the supplier's ability to provide the correct documentation. In my experience with hundreds of orders, a reliable vendor who answers questions is worth more than a vendor who saves me $200 and then disappears.
The third mistake is assuming premium always means better. Quality means finding the right type and grade for the actual use, not buying the most expensive option. But here's the part I care about: when an order arrives wrong, or the paperwork is missing, the client doesn't blame the chemical manufacturer. They blame our company. The output we deliver is an extension of our brand, and that's exactly why these six checks are worth the 25 minutes they take.
